Championship Coordinator and Administrator
After twelve years service the Club’s Championship
Coordinator and Administrator, Mary Cox is stepping down from the role
and MRC is therefore seeking a replacement. This post is operated as a
contract for services and expressions of interest are invited from individuals
or organisations able to provide all or part of the service required.
Ideally the Club would wish to appoint a person able to provide the full
service. That person should have knowledge of and enthusiasm for club
motorsport and ideally have experience of the MRC and its race format.
The appointee will need to be IT literate with experience of word processing,
spreadsheet and database programmes. (Microsoft Office Suite will be most
compatible.)
It is expected that the appointee will attend race meetings and take up
a Board appointment.
The Administrator will be responsible for provision of a suitable office
environment in which to work, will act as a postal address and be first
point of contact for telephone, email and postal enquiries. (A job specification
is attached)
This is a remunerated, self employed post and expenses are paid.

Job specification: Championship Co-ordinator and Administrator
The role covers four main areas of responsibility and is also likely
to warrant a Directorship of MRC Ltd.
Championship Responsibilities:
- Administering and co-ordinating all aspects of the Championships
with the MSA, race organising clubs and with competitors.
- Publish approved championship calendar, monitor calendar changes.
- Liaise with race committee on calendar & race matters.
- Communicate with organising clubs with regard to entries and programme
etc. Inform race sub committee of calendar changes or other problems
with regard to the organisation of races. Work with the race committee
to ensure efficient transfer of information on race meetings to all
MRC competitors.
- Liaise with secretary and/or publicity officer on MRC information
for race programme and race commentators.
- Attend race meetings and act as official liaison with MSA Stewards,
Clerk of Course, Secretary of Meeting and Eligibility Scrutineer.
- Assist with the production of Technical Regulations lodged with the
MSA.
- Publish all Championship Regulations.
- Communicate with the MSA on relevant matters – notices of intent,
applying for annual permit. Keep championship permits.
- Keep records of number of entries/starters for each round in order
to inform the Board, reconcile entry fees and inform MSA permit applications.
- Update printed material (e. g. Year Book & brochures). Organise
the printing and distribution of these documents.
- Send out race entry forms – ensure on-line.
- Keep points tables and finalise at end of season, publish via the
club website.
- Record and publish lap record.
- Order Mono1600 camshafts, organise for their payment and invoicing.
(this is phasing out – one cam ordered in 2008).
- Arrange purchase and engraving of ‘Driver of the Day’
or similar trophies, their sponsorship and relevant paperwork.
- Liaise with Directors regarding Club sponsorship details and deal
with relevant paperwork.
- In addition for 2009 the club may require a race entry service that
would see all race entries processed by the MRC and entry lists and
fees forwarded to the race organising club.
Membership and General Admin:
- Enrol new members, renew membership, register competitors and issue
membership cards, decals, and Year Book.
- Maintain a database of members and their status, answer enquiries,
send out brochures. Communicate with competitors via the club website
and other appropriate means.
- Club magazine: print, 'bind' and distribute paper versions of 'Startline
On-Line' to appropriate club members.
- Organise printing: Membership cards, decals for cars etc.
- Arrange public liability insurance.
- Order Club stationery.
- Source and order branded goods in accordance with Board requirements.
- Produce a written Report on each area of responsibility for the directors
prior to each Board meeting.
Accounts:
- Maintain cash book showing receipts and payments, preparing spreadsheets,
pay all invoices, collect and account membership fees, keep records,
pay in cash and cheques at bank, reconcile bank statements, send details
to Finance Director prior to each directors’ meeting, liaise with
treasurer re: year end and audit.
Functions:
- Arrange any technical seminar facilities, publish details, sell tickets
etc.
- Arrange annual awards function and AGM facilities, publish details,
sell tickets etc.
- Update and prepare list of awards.
- Arrange purchase and engraving of annual trophies and replicas.
N.B. To date with the exception of attendance at race meetings
and Board meetings the time commitment per year has been of the order
of 500 – 600 hours. Providing a race entry service would also be
in addition if required.
